Microsoft Authenticator for Employees

Authenticator Setup Instructions

*You need a mobile device to setup MFA Authenticator.

1. First you need to enroll your Microsoft account in MFA.
  1. Go to the enrollment portal at https://novapp.cc.uregina.ca/perl/mfa.cgi
  2. Login with your uregina Microsoft account username and usual password (*hint: you use your username and password when signing into UR Courses)
  3. Click the "Enroll in MFA" button, and wait for a red notice across the top "Your request was submitted successfully" (may take 15 seconds or so).
2. Once enrolled through the University portal, you need to set up the Microsoft Authenticator app on your Mobile Device.
  1. Go to https://portal.office.com on a web browser on your device (computer, laptop, tablet, mobile device, etc.).
  2. Sign in to your uregina Microsoft account username@uregina.ca and current password.
  3. You will then be prompted to download the MS Authenticator app on your mobile device, finish the setup, and test.

Always setup TWO Methods of MFA with Authenticator and your Mobile Device.

How do I set up multiple authentication device methods for MFA? MFA methods available are the MS Authenticator app and SMS text messaging - if one is not available the other can be used.

Do I need Data or Internet to use the Authenticator app?

Once the Microsoft Authenticator is setup you don’t need WiFi internet or mobile data to generate a one-time password code in the MS Authenticator app to authenticate.

What is MFA?

Multi-Factor Authentication (MFA), also known as Two Factor Authentication (2FA), adds an extra layer of security to University of Regina accounts to protect you, your data, and campus systems from attacks on your account, which could result in unauthorized access to your accounts.
What if I don't have a mobile device to use for MFA Authenticator?

U of R Employees only

If you do not have a mobile device to use for Authenticator, there are Hardware Tokens available for employees.

Step A. To request a hardware token, submit a Footprints ticket to the IS Service Desk.
  • Go to https://ursource.uregina.ca/is (employees only) and log in if prompted.
  • Under Forms choose Footprints Ticket form.
  • After submitting the form, you will receive a ticket notification by email.
  • Once you receive an email that the ticket is Completed, you can pick up your token from the IS Service Desk during regular business hours.

If you already have a token for DUO (employees only), you need to exchange it for a new one that works with both DUO and MS Authenticator. Submit a Footprints Ticket as outlined above.

Step B. If you are issued a hardware token it is set up by the IS Service Desk. Go to ED 137 to pick up your token after you have requested and received an email that the your ticket is complete (see, Step A). You will then test the hardware token after it is issued.  

What if I forget my device or hardware token at home?

DUO MFA

  • You can use Duo backup codes, if you have previously created them using the portal and have them with you.
  • If you do not have any Duo backup codes, you must call the Service Desk for assistance if you are prompted for MFA.

Microsoft MFA

  • Employees must call the IS Service Desk if they forget their MFA device at home and are prompted for MFA.

What is MFA Authenticator and what about DUO?
  • Microsoft Authenticator is a MFA application similar to the DUO MFA that you may already use to access some uregina systems if you are an U of R employee.
  • DUO MFA (employees only) will remain in place for existing systems for your uregina account (username/password), and MS Authenticator will be needed to access your new Microsoft account (username@uregina.ca / password).
  • Authenticator is mandatory for employees and optional for students until October 16, 2024 when it becomones mandatory.
