Thesis Approval and Defense Procedures
You should start by reviewing the general instructions provided by FGSR regarding pre-defense procedures:

You should also review the general guideline for the timelines for the completion of a defense provided by FGSR. These do not include the time required by our Department to review the paperwork and approve the thesis for defense, nor the time it might take you to edit the thesis based on feedback from your committee members.

In order to proceed to the defense of your thesis, two sets of paperwork must be prepared (one set for the Department of Computer Science, one set for the Faculty of Graduate Studies and Research). The following is a list of those forms along with instructions on what you are to do with each form. Please follow these instructions carefully.
Department of Computer Science Forms:
- Evaluation of the Thesis (Supervisor/Co-Supervisor)
- fill out the top portion of this form
- deliver it to each supervisor/co-supervisor
- ask the supervisor/co-supervisor to complete it and return it to the CS Department Office directly
- Thesis Defense Checklist (Supervisor)
- fill out the top portion of this form
- deliver it to each committee member
- ask each committee member to complete it and return it to the CS Department Office directly
- fill out the top portion of this form
- Evaluation of the Thesis (Committee Member)
- fill out the top portion of this form
- deliver it to each committee member
- ask each committee member to complete it and return it to the CS Department Office directly
- Thesis Defense Checklist (Department Office)
- fill out the top portion of this form
- do not check any of the verification boxes, as these must be checked carefully by the Department
- return it to the CS Department Office
Faculty of Graduate Studies and Research Forms:
- Thesis Committee Release Form
- fill out the top portion of this form
- in consultation with your supervisor, fill in the tentative defense dates
- have each supervisor/co-supervisor and committee member sign the form, noting that duplicate forms may be submitted in cases where it is difficult to get everyone to sign the same document
- return the form(s) to the CS Department Office
- Nomination Form: External Examiner
- fill out the top portion of this form
- provide this form to your supervisor and ask them to proive the details for the external examiner on this form
- ask your supervisor to verify that the external examiner has been contacted and is available to confirm at the end of "Rationale for Choice" section
- return the form to the CS Department Office
- External Examiner Conflict of Interest Checklist
- fill out the top portion of this form
- ask your supervisor to fill out the second portion of the form
- working with your supervisor, complete the “Student Checklist” section
- ask your supervisor to complete the “Supervisor(s) Checklist”
- return the form to the CS Department Office
- Checklist for the Submission of a Thesis/Dissertation
- fill out the top portion of this form (name, student ID, degree)
- do not check any of the verification boxes, as these must be checked carefully by the Department
- return it to the CS Department Office
Thesis Document Review and Approval
Once the supervisor/co-supervisor and all committee members agree that the thesis is ready for defense, it must be reviewed and approved by the Associate Head (Graduate). Upload a copy of your thesis to a cloud-based file sharing platform such as Google Drive or Dropbox, and send a link to this file to CSGrad.Coord@uregina.ca. Please allow up to one week for this review to be completed, noting that the Associate Head (Graduate) may require that changes be made to your thesis to ensure it meets Departmental expectations for form, style, and depth of content. This must be done before the Associate Head (Graduate) will approve any of the forms for proceeding to defense.

Note that a bound copy of the thesis must be provided to the CS Department Office for the Computer Science Thesis Library.
