Update of Name, Legal Name or Gender
In alignment with our Legal Name and Change of Name policy, students and staff may update their name and legal name. Students and staff also have the option to provide updates to their gender. The information below outlines how you can make these updates.
Update First and Middle Names
You can update your name to the name you use on student ID cards, class lists, and University correspondence.
You can update your name in UR Self Service: Under the Home Menu navigate to Update Name and/or Gender.
Update Gender
You can indicate your gender when applying to the University of Regina.
If you’re a current student, you can also update your gender in UR Self Service: Under the Home Menu navigate to Update Name and/or Gender.
Change of Legal Name
If you have changed your legal name, you must notify the University of Regina and provide the supporting documentation indicated on the Change of Legal Name Form (PDF).
Legal Name and Name FAQs
All students must provide their legal name when applying to the University of Regina. Your legal name is the name shown on your government-issued identification.
While some students use their legal name in everyday life, others may use a different name, such as a shortened version or one that better reflects their personal identity. At the University of Regina, students have the option to use a first and middle name that differs from their legal name.
The University of Regina has a legislative and/or legal requirement to maintain and issue certain documents in an individual’s legal name. These documents and processes include:
- Tax information
- Transcripts (official and unofficial)
- Confirmation of Enrolment
- Financial aid reporting
- The Saskatchewan Graduate Retention Program
- Parchment documents
- IRCC and student visa reporting
- Payroll and employment records
- Collection of outstanding financial accounts
If you use a name that is different from your legal name, it will be used in the following processes:
- Correspondence from the University (text, email, and postal)
- Student ID Card
- Class lists
- UR Courses
- UR Self-Service
- Advising reports
- Advisor by Conclusive (the University’s degree audit and program planning system)
- Student information shared by agreement with the University of Regina Students’ Union (URSU)
Yes, you may request an exception from the Registrar’s Office to use a name other than your legal name on the following documents:
- Confirmation of Enrolment
- Parchment documents
To request an exception, contact the Registrar’s Office at registrar@uregina.ca. These documents may require a fee.
