Microsoft Teams allows you to share files created in Office 365 among your fellow collaborators. Everyone can stay up-to-date on the latest project status. Teams allows multiple people to edit documents simultaneously.
- In Teams there's a link to Microsoft Apps where you can open Word, Excel, PowerPoint, and more.
Quick Teams Info
- Use 'Chat' feature for instant messaging with colleagues individually or in a group chat.
- Meetings can have a Teams link added with one click.
- Default is always include Teams meeting, Turn it off in File- Options (bottom left corner) – Calendar Options - remove checkmark “Add online meeting to all meetings” - Click OK.
- Create a team to collaborate with a group or work on a project by using the ’Request-a-team' app on the left side apps list.
Getting Started with Teams
Teams lets you quickly pull together a team with people inside and outside your organization, with vitual meetings, chat with others to drive fast and inclusive conversations, securely share and coauthor documents, and iterate on projects.
Teams is platform-agnostic, which means you can use or download it on almost any device including, Windows, MacOS, iOS, Android, and web browser.

- Edit files within Teams.
- Open the "Request-a-Team" app – Located in the left navigation bar of the Microsoft Teams application.
- Complete the required template – Fill out the form with the necessary details.
- Submit your request – After submission, the system will typically create your team within a few minutes. You’ll receive a confirmation notification under Activity in the left navigation bar of Microsoft Teams, as well as an email in your Outlook inbox.

- Upload the file to a Teams channel (or SharePoint, if it’s stored there).
- Click "Share" on the file and enter the external user’s email address.
- Set permissions—external users will have guest access by default, allowing them to:
- View, edit, and download files.
- Participate in channel conversations.
- Not add, delete, or manage channels (unless adjusted).
- Adjust permissions if needed—you can grant higher access (e.g., edit or manage channels) via permission settings.
Note: The external user will receive an email invitation with a link. When they click it, they’ll need to verify their identity using a one-time passcode (OTP) sent to their email before accessing the file.
